Account Receivable and Payable Aging Sheet

An accounts receivable and payable aging sheet shows outstanding customer invoices and supplier bills according to how long they have been unpaid. This generator groups balances into Current, 1–30 Days, 31–60 Days, 61–90 Days, and Over 90 Days, helping businesses see which amounts are due or overdue at the selected report date.

For each entry, add the customer or supplier, invoice or bill number, invoice date, due date, original amount, and any amount already paid. The generator calculates the remaining balance and assigns it to the appropriate aging period. Receivables and payables are summarized separately so they can be reviewed without mixing money owed to the business with money the business owes to suppliers.

Aging reports can support collection follow-ups, supplier-payment planning, cash-flow reviews, and month-end account monitoring. The report should be checked against invoices, bills, payment records, credit notes, and the accounting system before it is used for financial reporting or important business decisions.

How the AR/AP Aging Sheet Works

The aging sheet compares each invoice or bill’s due date with the selected report date. Any unpaid balance is then placed into an aging bucket according to how many days it is outstanding.

  • Current: Amounts that are not yet overdue as of the report date.
  • 1–30 Days: Outstanding balances up to 30 days past due.
  • 31–60 Days: Balances between 31 and 60 days past due.
  • 61–90 Days: Balances between 61 and 90 days past due.
  • Over 90 Days: Balances more than 90 days past due.

For accounts receivable, older balances can help identify customer invoices that may require collection follow-up. For accounts payable, the aging schedule helps identify supplier bills that are approaching or have passed their due dates.

The remaining balance should reflect the original invoice or bill amount less payments or applicable credits already recorded. Before relying on an aging report, reconcile the figures with the underlying invoices, payment records, credit notes, and accounting ledger.
